Terms and Conditions

By completing a reservation with us, you automatically agree to these Terms and Conditions ("Terms"), as well as our Privacy Policy, which represent the agreement we have with you, our Client (hereinafter also referred to as the lessee).

Specific restrictions and/or inclusions not covered in the examples listed here may apply. Always review the particular conditions of each service.

As we are constantly improving, we frequently update our Terms, either by restricting our services or adding new security measures for your adherence, without prior notice. Therefore, please check this page as often as possible to stay up to date with our changes.

We also reserve the right to suspend our system for repair, security, or maintenance. But don't worry, we will ensure that all reservations you complete in our system are honored.

1. VOUCHER (Booking Confirmation Document)

1.1 The Voucher (Booking Confirmation Document) is the confirmation of your reservation with Rentacar GEISCAR. It is individual and non-transferable and must be in the name of the person who will actually use the vehicle: the lessee. As soon as your reservation is confirmed through our service channels, we will send the Voucher to your registered email, along with these Terms & Conditions.

1.2 The Voucher must be shown digitally to Rentacar GEISCAR and will only be valid if all the information contained in it (such as the holder’s name, confirmation number, dates, times, pick-up and drop-off locations, among others) is correct and matches the Rentacar GEISCAR database at the time of vehicle pick-up at the rental counter.

1.2.1 Failure to present it or any discrepancies between the information entered and that presented at the time of vehicle pick-up may prevent the use of your reservation and consequently the use of the vehicle, constituting what is called a Turn-down, and subject to the corresponding fees and charges (explained in item 6).

2. GENERAL REQUIREMENTS FOR VEHICLE RENTALS

2.1 There are certain rules issued by Rentacar GEISCAR that you must comply with to pick up and use the vehicle. Any additional driver included in the reservation will be subject to the same rules. Below we list some requirements for rentals within Colombia, as well as certain restrictions applied by Rentacar GEISCAR. This list is not exhaustive and may vary, so please pay attention to the specific details of your reservation and updates to these Terms and Conditions.

2.2 It is your sole responsibility to enter your data correctly, review it, and comply with all requirements listed below to avoid possible refusal by Rentacar GEISCAR when opening your rental agreement.

2.3 Requirements for Vehicle Rentals in Colombia:

Minimum age of renter/driver: 25 years is the general rule; however, by purchasing the young driver protection insurance, you may rent being over 21 years old. Drivers under 21 years old (but holding a permanent driver’s license) or over 70 years old are subject to additional fees or even more restrictive rules. Inquire about this possibility, or your reservation may be denied at the time of vehicle pick-up.

Driver’s License: Your license must be from your country of nationality, original, issued at least two years ago, valid for the entire reservation period, and presented in its physical version (the digital version may be rejected by Rentacar GEISCAR). You must also present your International Driver’s License and your original passport issued by your country of origin, valid for the entire reservation period.

Credit Card: It must be physical (virtual versions may be rejected by Rentacar GEISCAR), clearly showing the cardholder’s name, and with a sufficient limit for the security deposit, as explained in item 12 of these Terms.

International Credit Card: It must be physical (virtual versions may be rejected by Rentacar GEISCAR), showing the cardholder’s name embossed, and with a sufficient limit for the security deposit. Remember: international reservations require an international credit card with sufficient limit for the deposit.

Original Passport: Regardless of your nationality, many countries require you to present your original passport, issued by your country of origin and valid for the entire reservation period. Always keep it on hand.

Signing the Rental Agreement with Rentacar GEISCAR: Due to Rentacar GEISCAR’s requirements, in addition to these Terms and Conditions, you may need to sign a contract when picking up the vehicle so that all terms and conditions apply to the conditions stated in this document for your reservation. The rental agreement will likely be in the local language of the destination country. Make sure you understand its content, as a claim of ignorance will not invalidate contracts signed at the rental counter.

3. REFUSAL TO OPEN THE RENTAL CONTRACT BY THE LESSOR

3.1 Failure to comply with the above rules, incomplete compliance, failure to present the required documents, or lack of necessary information on your part preventing vehicle pick-up is your sole responsibility.

3.2 Rideshare or Private Driver Services: It is prohibited to rent vehicles through our channels for rideshare or private driver services. If you need to rent a vehicle for these purposes, we recommend contacting specialized companies. Rentacar GEISCAR may refuse to open your rental agreement, and Rentacar GEISCAR will not be liable for any damages arising from such refusal.

3.3 Substance Use: Driving under the influence of any substance that may impair your psychomotor ability is prohibited. Rentacar GEISCAR may refuse to complete the vehicle rental process if it observes that the renter or driver is not fit to drive.

3.3.1 This may occur if the driver appears to be under the influence of alcohol, drugs, or medication affecting their psychomotor abilities, or appears psychologically or physically unfit to drive (exhibiting aggressive and/or harmful behavior).

3.4 Evaluation by Rentacar GEISCAR: At the time of vehicle pick-up, Rentacar GEISCAR may refuse to proceed with your reservation if it considers there is any risk in doing so, based on Rentacar GEISCAR’s internal criteria.

3.4.1 This may occur due to restrictions with credit protection agencies or other analyses conducted by Rentacar GEISCAR in your name, based on factors considered risky.

3.4.2 These checks will be carried out exclusively by Rentacar GEISCAR at the time of vehicle pick-up, at Rentacar GEISCAR’s sole discretion.

3.4.3 In case of refusal, and consequently a Turn-down (Rental Rejection), you may be charged a fee as provided in item 5 of these Terms, according to Rentacar GEISCAR’s policy.

4. RESERVATION CHANGES

4.1 At Rentacar GEISCAR, we may occasionally need to make changes to your reservation. In such cases, we will notify you as soon as possible and find a suitable solution for you.

4.2 If you need to change something in your reservation, you can contact us through any of our channels. We are always available and ready to help, answer your questions, and assist with any modifications you need. You can count on us for that.

4.3 Any other changes, optional services, extras, expenses, violations, extra service fees, upgrades, etc., contracted at the Rentacar GEISCAR counter or charged by them, must always be paid directly to Rentacar GEISCAR or possibly deducted from the guarantee amount, as explained in item 12.

4.4 To change your reservation with Rentacar GEISCAR:

Before the vehicle pick-up date: Contact us through any of our service channels, and we’ll assist you. Changes are subject to new availability analysis by Rentacar GEISCAR, new pricing, and possible exchange rate differences, which may result in a rate update.

At the Rental Counter: If changes are requested at the time of vehicle pick-up, Rentacar GEISCAR will charge any extra fees directly. The amounts charged at the counter may be higher than those previously contracted or offered on the website at the time of booking, as rates may vary, without prejudice to any losses incurred.

5. RESERVATION CANCELLATION

5.1 Reservation cancellation can be requested through any of Rentacar GEISCAR’s channels (phone, website, or app). Please take into account the specific rules and fees that may apply to your case, which are listed below.

5.2 Cancellation Fees, which will be charged by withholding the corresponding amount from the fare before refunding the customer, are as follows:

Reservation cancellation - A fee of 5% of the total amount of your reservation may be charged.

Reservation cancellation after the vehicle pick-up time - A fee equivalent to the value of one day may be charged.

Reservation cancellation after the vehicle pick-up time if the reservation is for 1 day only - A fee of 5% of the total amount of your reservation may be charged.

Partial Prepaid Reservation cancellation - A fee of 100% of the prepaid amount may be charged.

5.3 The refund of the remaining amount (after deducting the applicable fees) will occur as detailed in item 10 of these Terms.

5.4 Once cancellation is requested, the reservation can no longer be reactivated or used.

6. MULTIPLE RESERVATIONS FOR THE SAME PERIOD

6.1 Rentacar GEISCAR does not allow more than one reservation for the same period under the same person's name. Therefore, if you need to make more than one reservation under the same person’s name, contact us so we can assist you. Rentacar GEISCAR is not responsible for any automatic cancellations on our part.

7. DELAYS IN VEHICLE PICK-UP OR RETURN

7.1 Your rental period begins and ends according to the dates and times indicated on your Voucher.

7.2 Picking up at a different date or time than scheduled for the start of your reservation and/or returning at a different date or time than specified on the Voucher does not guarantee vehicle availability, maintenance of your reservation, or refund for unused periods.

7.2.1 Delay tolerance for pick-up: Rentacar GEISCAR has a maximum tolerance of 29 (twenty-nine) minutes of delay after the time specified on the Voucher for vehicle pick-up. However, Rentacar GEISCAR may classify your delay as a no-show, subject to the respective fees and charges provided in numeral 8 of these Terms.

7.2.2 Delay tolerance for return: Returning the vehicle later than specified on your voucher may incur additional charges by Rentacar GEISCAR.

7.3 Regardless of the reason or nature of your delay (airline delay, flight replacement due to overbooking, etc.), it is imperative that you notify Rentacar GEISCAR as soon as you become aware of the delay. If you have any difficulty, we are here to help. Contact us immediately so we can inform and try to avoid automatic cancellation of your reservation.

7.4 Rentacar GEISCAR is not responsible for modifications, returns, advances, or delays on your part.

8. (NO-SHOW)

8.1 No-Show occurs when you do not present yourself at the rental counter at the scheduled date and time (or do not cancel within the deadline), or arrive at the rental counter after the tolerance period. The reason for the no-show or delay will not be analyzed.

8.2 In case of No-Show, Rentacar GEISCAR will charge the total amount of one daily rate.

8.2.1 For single-day reservations, the withheld amount will be 5% (five percent) of the total reservation amount.

9. TURN-DOWN (RENTAL REJECTION)

9.1 Turn-Down is the refusal by Rentacar GEISCAR to open the rental contract and occurs when all requirements for the effective pick-up of the vehicle are not met. In these situations, the vehicle will not be available and your reservation will be canceled.

9.2 Turn-Down can occur for various reasons, some of which are mentioned in item 2 of these Terms, but there are others that may vary according to Rentacar GEISCAR. It is important to know what conditions are required.

9.3 In case of Turn-Down, Rentacar GEISCAR will charge the total amount of one day.

9.3.1 For single-day reservations, the withheld amount will be 5% (five percent) of the total.

10. REFUNDS

10.1 Rentacar GEISCAR will only issue a refund when the payment for your reservation was made directly with us (as a Prepayment) through our sales channels.

10.2 The refund processing time for reservations cancelled within the allowed period (at least 48 hours in advance) will be up to 20 business days, counted from the date your refund request is sent and received through our service channels by the responsible finance department, which may take a few days after requesting the refund.

10.3 Refund requests for reservations that resulted in a turn-down or no-show (items 8 and 9 of these T&C) will have a processing time of up to 10 business days for payment and will only begin after the reservation status has been confirmed.

10.4 Prepayments made by credit card will be refunded on the following card statements (according to each card operator’s rules).

10.5 Prepayments made by other regulated payment methods such as, among others, credit card or other online payment forms will have the refund credited to the account of the reservation holder.

11. CHARGEBACK

11.1 Payment disputes or chargebacks with your bank and/or card brand prevent Rentacar GEISCAR from proceeding with your refund (since these funds are blocked by the card administrator) and may also prevent you from making new reservations through our channels. Whenever you need to resolve such a situation, contact us first.

12. SECURITY DEPOSIT (Guarantee Amount)

12.1 Rentacar GEISCAR requires a security deposit to cover damages that may occur during your reservation. Rentacar GEISCAR may retain this deposit (or part of it) if it finds damages to the vehicle, fines, extra expenses, counter contracts, etc.

12.1.1 To know the exact amount that may be blocked as a guarantee, consult Rentacar GEISCAR. Several variables can affect this calculation, and only Rentacar GEISCAR can inform you precisely. Our team can also help with this inquiry.

12.1.2 Some of the Extra Charges that may be applied (not described on our Voucher) are: traffic fines, damages or breakdowns caused to the rented vehicle and not covered, cleaning fee, fuel, tolls, optional protections, services and accessories contracted directly at the rental counter, among others.

12.2 You must present a valid credit card in the name of the reservation holder, in physical form (digital credit cards may be rejected by Rentacar GEISCAR), with the cardholder’s name displayed (and embossed for international rentals) and linked to the banking institution, and with sufficient available limit to hold the charge.

12.3 This amount is blocked on the credit card on the day of vehicle pick-up and will be released upon request by Rentacar GEISCAR after return, once it is verified that the reservation was carried out regularly and in accordance with the contract.

12.4 It may take up to 30 business days for the money to appear again on your card statement. This depends on your card issuer. If after this time the amount remains blocked on your credit limit, contact Rentacar GEISCAR and/or your bank.

12.5 As this is a financial transaction, amounts related to taxes may be withheld and therefore will not be returned according to Colombian regulations.

13. CHARGES AUTHORIZED BY Rentacar GEISCAR

13.1 Rentacar GEISCAR may charge other expenses (not described on our Voucher) to your credit card, and such charges may be made by withholding the guarantee amount (mentioned in item 12 above) or by requesting payment at the time of vehicle return.

13.1.1 Some examples of these charges are government-imposed fees in Colombia, including but not limited to airport-related fees, insurance coverage, VAT, sales tax, or any other charge outside Rentacar GEISCAR’s control.

14. RETURNING THE VEHICLE TO A DIFFERENT LOCATION THAN PICK-UP (One Way Fee)

14.1 Rentacar GEISCAR offers the possibility to return the vehicle to a different location than where it was picked up, upon payment of a specific fee. Notify Rentacar GEISCAR in advance which locations offer this option and the fee they charge for it. This fee must be paid directly to Rentacar GEISCAR.

14.2 Returning a vehicle to a location different from the pick-up location must be expressly stated in the rental agreement so that returning the vehicle to a different branch does not constitute a "breach of contract" and will otherwise incur additional charges by Rentacar GEISCAR.

15. FUEL AND REFUELING

15.1 If the refueling exemption has not been purchased by you (either at the time of booking with us or requested at the rental counter), you must return the vehicle with the fuel tank in the same condition in which it was delivered (normally full).

15.2 In case of no refueling, Rentacar GEISCAR may charge proportionally based on its own pricing (which may be higher than local service stations). We recommend that you keep the receipt for the refill made immediately before returning the vehicle to support any dispute regarding an unjustified charge.

16. TRAFFIC FINES AND VIOLATIONS

16.1 Border crossing between countries: Rentacar GEISCAR may prohibit depending on the location, or incur additional charges which may be deducted from your security deposit or charged later by Rentacar GEISCAR. Confirm your itinerary with Rentacar GEISCAR in advance and which fees may be charged in these cases.

16.2 In case of traffic violations: the payment and civil and criminal liability for fines will be exclusively yours, with the traffic agency and/or authority in Colombia. Rentacar GEISCAR may reserve the right to make intermediate and/or advance payments and subsequently charge you directly, along with Rentacar GEISCAR’s administrative fees.

16.3 Smoking inside vehicles is prohibited: Applicable fines vary and can be confirmed at your service desk. Collection will be handled exclusively by Rentacar GEISCAR.

17. REFUNDS OWED BY Rentacar GEISCAR

17.1 Refunds that Rentacar GEISCAR may owe you must be handled directly with Rentacar GEISCAR.

18. VEHICLE CATEGORY

18.1 Vehicles are reserved by category: the brand, year, model, color, license plate, or other configurations are not guaranteed.

18.2 Upgrade Offer: It is common for Rentacar GEISCAR, at the time of pick-up, to offer a category upgrade for an additional cost, payable to Rentacar GEISCAR.

18.3 Luggage: Luggage capacity is indicative only and may be reduced or nonexistent depending on the balance between the number of occupants and the suitcases you wish to transport.

18.3.1 Rentacar GEISCAR is not responsible for failure to meet the reservation or additional charges for category changes when the number of passengers and/or luggage exceeds the capacity of the reserved vehicle.

19. LACK OF VEHICLE AVAILABILITY

19.1 Rentacar GEISCAR commits to provide a solution in your favor if, for any reason, the selected or reserved vehicle is not available.

20. INSPECTION

20.1 When picking up the vehicle, verify its documentation as well as the presence of safety accessories: tire, spare tire, jack, wheel wrench, warning triangle and fuel tank level, as well as whether the vehicle or you are free of parts or violations in the SIMIT (Integrated System of Information on Traffic Fines and Sanctions) in Colombia.

20.2 Accompanying the car inspection: both at pick-up and at vehicle return, if possible. Check, point out and record in the checklist the conditions of cleanliness, hygiene, preservation, damages and/or breakdowns in the rented vehicle.

20.3 Rentacar GEISCAR may charge for repair of damages caused by you during the rental period, as well as cleaning and disinfection fees according to its own price list, and other administrative fees for any observed damage and/or breakdown.

21. ACCIDENTS

21.1 In case of accident, theft, or damage to the rented vehicle, notify Rentacar GEISCAR immediately to receive information on how to proceed. It is usually necessary to present the Police Report where the incident occurred, as well as to complete the accident report with Rentacar GEISCAR within a maximum of 24 hours.

21.2 Regardless of whether the accident is attributable to you or a third party, keep in mind that Rentacar GEISCAR will charge you for any damage to the vehicle (or your deductible).

22. MANDATORY PROTECTION

22.1 We always include mandatory protection in reservations made with us. Thus, you will always have Risk Coverage and Mandatory Protection included. For this, you will be subject to the clauses present in the Rentacar GEISCAR rental agreement. As a general rule, coverage excludes, among other things, accessories, damaged tire, damaged wheel, suspension damaged by holes or curbs, windshield breakage, damages caused by flooding or any other natural phenomenon, loss or damage of vehicle key and/or documentation. These items may vary and must be confirmed when collecting the vehicle. Please carefully review the protection and coverage details available in your reservation.

22.2 If you are interested in purchasing the available protections, or if you disagree with the presented conditions, contact us so we can assist you.

22.3 Rentacar GEISCAR is not responsible for loss of vehicle coverage when driven by unauthorized persons, under the influence of alcohol/drugs, or infringing applicable traffic laws.

22.4 Amounts for co-participation and/or deductibles: when applicable, the amounts and rates of co-participation and/or deductibles will be determined in the rental agreement and, in case of breakdowns or damages to the vehicle, the charge will be made directly by Rentacar GEISCAR to you, according to item 9 of these Terms. In addition to these costs, Rentacar GEISCAR may also charge for the period the vehicle was out of service for maintenance. Confirm such charges when opening the rental agreement.

23. OFFERS AND/OR PROMOTIONS

23.1 Rentacar GEISCAR has ongoing promotions such as:

8 Days of Rental Rentacar GEISCAR will discount 1 day.

16 Days of Rental Rentacar GEISCAR will discount 3 days.

31 Days of Rental Rentacar GEISCAR will discount 7 days.
